Animal Capacity Coordinator (paid position)
Position Summary
Forever Loved Pet Sanctuary (FLPS) is seeking a highly organized, compassionate, and proactive Animal Capacity Coordinator to oversee intake, foster placement, and population management for senior dogs. This role ensures each dog receives the right care in the right environment—whether that’s a foster home or the sanctuary—while FLPS operates within safe, sustainable capacity, resources, and staffing/volunteer levels.
Serving as the bridge between intake, medical, foster, and adoption teams, the Coordinator balances compassion with sound operational judgment to make lifesaving decisions. Responsibilities include managing incoming dog requests, coordinating behavioral/medical evaluations, and overseeing foster placements and capacity tracking in Better Impact and other internal systems.
Time commitment
Work Schedule
- Full-time, 40 hours/week.
- Primarily weekdays; some evenings and weekends for intakes or emergencies.
- Hybrid work is possible after training, with regular onsite presence at the sanctuary.
Compensation & Benefits
- Salary Range: $44,000- $46,000
- Benefits: 2 weeks PTO and flexible scheduling.

Responsibilities
Intake Coordination
- Serve as the primary contact for all intake requests, including owner surrenders, transfers, and shelter partners throughout the state of Arizona.
- Gather and review detailed background, medical, and behavioral information for each intake candidate.
- Coordinate intake approvals with the Shelter Manager, Executive Director, and Animal Welfarel team based on capacity and resources.
- Schedule and oversee incoming dog arrivals, ensuring smooth transitions to the sanctuary and then to their foster home. The Transport Team can be utilized.
- Maintain accurate and up-to-date intake records in the FLPS database.
Capacity & Population Management
- Monitor and manage overall animal population across foster homes and the sanctuary to maintain safe, sustainable numbers.
- Track available foster homes, kennel space, and medical holds to guide intake decisions.
- Communicate regularly with the Animal Welfare Team, Shelter Manager, and Executive Director to align medical, behavioral, and adoption timelines.
- Develop and maintain an animal flow plan, forecasting future intakes and adoptions.
- Work closely with the Executive Director and Shelter Manager to evaluate FLPS’s capacity to assist rural or external rescue partners.
Foster Program Oversight
- The goal of the foster program is to prepare senior dogs for adoption.
- Identify and recruit new foster caregivers through community engagement and targeted outreach.
- Screen, and onboard new foster caregivers.
- Match dogs with appropriate fosters based on medical, behavioral, and household compatibility.
- Maintain open, ongoing communication with foster families to provide support, resources, and guidance.
- Monitor each foster dog’s progress, updating notes and medical/behavioral information in the system.
- Coordinate supplies needed for foster dogs (food, medications, transport).
- Recognize and support foster caregivers through appreciation and retention efforts.
- Supervise Volunteer Foster Advocates as they are added to the team.
Medical & Behavioral Coordination
- Communicate medical updates between fosters and the medical team promptly.
- Track behavioral observations and coordinate any necessary training needs among sanctuary and foster placements.
Data & Reporting
- Maintain accurate records of intakes, outcomes, foster placements, and capacity trends.
- Generate monthly reports on foster and adoption status/readiness.
- Contribute data for grant reporting and program evaluation.
- Fill out the necessary paperwork to apply for grant funds attached to dogs needing to be transferred from Arizona Shelters.
Other Duties
- Complete other duties as assigned.
Qualifications
Required:
- 2+ years of experience in animal welfare, rescue operations, or shelter management.
- Strong understanding of foster-based rescue models.
- Excellent organizational and communication skills.
- Proven ability to make compassionate, data-informed decisions under pressure.
- Proficient in Google Workspace, and experience with animal management systems (Better Impact, Rescuegoups, etc.).
Preferred:
- Experience managing intake or foster programs in an animal rescue or shelter setting.
- Familiarity with senior dog care and age-related medical conditions.
- Comfort communicating with veterinarians, fosters, and the public.
